Being an international student planning to participate in an Erasmus mobility period while your Italian residence permit is close to expiration, it is essential to plan your renewal carefully and in advance.
Please read the following message and the attached file for future reference.
The renewal application cannot be submitted too early. In general, it should be filed approximately 2-3 months before the expiration date of your current permit. For example, if your permit expires in October, the proper time to apply would be around July or August. If it expires at the end of August 2026, you may apply starting from mid- to late this month. In any case and whenever possible, you are strongly advised to submit your application before leaving Italy for your Erasmus period.

You can rely on the support of the local union "Patronato ACLI" for preparing the application, upon appointment.
Once the renewal application has been submitted, you will receive a postal receipt confirming your legal stay, along with a letter indicating the date of your fingerprinting appointment at the Immigration Office (Questura). This appointment is automatically scheduled by the system and cannot be booked or modified before the application is submitted.
It is important to note that, after receiving the appointment letter, it may be possible to request a rescheduling, either earlier or later, depending on the availability of the Immigration Office. However, such requests can only be considered after some time has passed from the submission of the renewal application, and availability is not guaranteed.

The request must include:
• Full nam • Student ID number (matricola) • Copy of passpor • Destination university (name and country) • Duration of the mobility (semester and number of months • Start and end dates of the mobi • Any planned periods of stay in Italy before, during, or after the mobility • Copy of the application receipt (“assicurata” • Copy of the appointment letter
Please note that:
• The Immigration Office may not be able to accommodate the requested dates. • If a new appointment is assigned, the rescheduled date must be strictly respected.
For the renewal, you must also demonstrate that you have a valid domicile in Italy, preferably in the province of Macerata, even if you will be abroad during your Erasmus period. If you do not have an active rental contract, you may provide a declaration of hospitality (comunicazione di ospitalità), stating that you are staying free of charge as a guest at the home of a friend or acquaintance, in accordance with the instructions below.
The “comunicazione di ospitalità” must:
• be written, dated, and signed by the person hosting you; • be accompanied by a copy of your identity document and the host’s identity document (and, if the host is a non-EU citizen, also a copy of their residence permit); • be accompanied by proof of submission to the Questura.
Important: if the person hosting you has not yet submitted this declaration, they must first send the “comunicazione di ospitalità,” together with copies of the identity documents, to the Questura.
Afterwards, you must send a copy of the “comunicazione di ospitalità,” including the copies of the identity documents and proof of submission, to the email address indicated in the letter you received today at your appointment.

Please be aware that indicating an address outside the province of Macerata (for example, in another city) will transfer your application to a different Immigration Office, and in such cases, the university will not be able to assist in monitoring your application.
After the fingerprinting appointment, the application undergoes further checks, and the residence permit card is produced centrally by the State Printing Office. The average processing time is approximately 30–40 days, and this phase cannot be expedited. If the status of your application appears as “in trattazione”, it means that the card has not yet been delivered to the local Questura, and no further action can be taken to accelerate the process.

If you do not attend your scheduled appointment, a new one will be automatically assigned, although the timing is unpredictable.
Once the residence permit is ready, it must be collected in person at the Immigration Office. During collection, your identity will be verified, and the electronic permit will be activated through fingerprint registration. For this reason, it is not possible to delegate collection to another person.
We understand that waiting times and administrative procedures can be particularly stressful, especially in view of an upcoming mobility period. However, please note that processing times depend on national authorities, and neither the university nor the Questura can accelerate the issuance of the residence permit. Regularly monitoring your application and planning remain the best strategies to avoid complications.
